ADMINISTRATIVE PRODUCER

Kim Wakefield

The Administrative Producer is responsible for overseeing all managerial and clerical tasks within The EVVY Awards. This in turn establishes a professional work environment that will ensure the efficiency of The EVVY Awards and allow furthered creativity amongst other departments. The Administrative Producer will oversee the Business Manager, the Office Manager, the Operations Manager, the Compliance Coordinator, and the Submissions Coordinator.

OFFICE MANAGER

Zach Wilson

The Office Manager ensures that the EVVY office is a fully functional work environment. This includes maintaining inventory of office supplies and scheduling office sitters. The Office Manager should provide the training necessary for all office sitters. The Office Manager is also responsible for the organization and cleanliness of the office.

OPERATIONS ASSISTANT

Jeff Foster

The Operations Manager is responsible for determining appropriate locations and transcribing concise minutes for table meetings. The Operations Manager should keep records of attendance for all events associated with The EVVY Awards, and should ensure the completion of deal memos for all members.

COMPLIANCE COORDINATOR

It is the role of the Compliance Coordinator to ensure that The EVVY Awards adheres to all copyright laws regarding submissions made by students. In order to achieve this, the Compliance Coordinator must work closely with music publishers, such as B.M.I, to register any and all copyrighted material that may be contained in submissions, and therefore, the show.

SUBMISSIONS COORDINATOR

The Submissions Coordinator has the responsibility of collecting, organizing, and sending out submissions to judges. The coordinator must assess the state of current submission categories and, if necessary, create and define new ones. Also, a close relationship should be established with the Public Relations Coordinator in order to raise awareness of submissions.

ART & DESIGN PRODUCER

The Art & Design Producer is responsible for overseeing the development and production of the design elements of The EVVY Awards. The producer preserves the consistency of The EVVY Awards by ensuring that scenic, lighting, graphic, script and website departments are all unified in their creative vision. In addition, the Art & Design Producer will revise the style guide to reflect updated color schemes. The Art & Design Producer will oversee the Graphics Coordinator, the Script Coordinator, the Website Coordinator, and the Theatre Relations Coordinator.

GRAPHICS COORDINATOR

Aaron Singer

The Graphics Coordinator designs both motion and still graphics for The EVVY Awards. The coordinator should have sufficient knowledge of graphic software, such as AfterEffects, Motion, and Maya, and should feel comfortable instructing members in these programs. Furthermore, the Graphics Coordinator must discuss design and composition elements of the show with team members.

SCRIPT COORDINATOR

As Script Coordinator one must create The EVVY Awards script, which is comprised of host and announcer sketches. By holding workshops, the coordinator strengthens the skills of the script
team needed in writing live event television. The coordinator, along with the writing team, may also be asked to create scripts for EVVY programming and other promotional events.

WEBSITE COORDINATOR

Gregory Hutchinson

The Website Coordinator is responsible for designing and maintaining The EVVY Awards website. The design should be visually pleasing, as well as functional. In addition, the website should have the capability to host multiple forms of media, including: text, PDF, still and motion graphics, and video files. Finally, the coordinator is responsible for informing producers and coordinators of how to update website information for their departments.

THEATRE RELATIONS COORDINATOR

Mana Butt

The Theatre Relations Coordinator is responsible for maintaining open communication between the theater design team and the Executive Producers, the Art & Design Producer, and the Faculty Advisor. The coordinator establishes design team contracts, meeting schedules and appropriate deadlines. Additionally, this person makes arrangements for rehearsal space during production week. The coordinator also acts as The EVVY Awards representative to Emerson Stage and other theatrical organizations, and should maintain good communication with Performing Arts faculty and staff.

JUDGES, PRESENTERS AND ROLL-INS PRODUCER

Kate Baker

The Judges, Presenters, and Roll-ins Producer has the responsibility of overseeing the department that deals heavily with industry professionals. The producer will be responsible for teaching the notorious “Giving Good Phone Workshop” at the beginning of the year, and should be available to make high-profile calls if necessary. The producer should handle all lists or authorizations that need to be reviewed by the Executive Producers and moreover, act as a liaison between the Executive Producers and the subsequent coordinators. The Judges, Presenters, and Roll-ins Producer will oversee the Judges Coordinator, Presenters Coordinator and Roll-ins Coordinator. It is the producer’s responsibility to keep these coordinators on task and ensure their progress throughout the year. The producer should facilitate communication among these coordinators. Weekly meetings should be held by the producer with these coordinators for this exact purpose.

JUDGES COORDINATOR<

Corinna Pieloch

The Judges Coordinator is responsible for obtaining approximately 160 industry professionals to serve as judges for submissions entered into The EVVY Awards. As coordinator, this person should delegate and assign research and calls to members of the JPR Team. Judging research should be done throughout the first semester, so as to be completed in order to begin calls by early February of the second semester. The Judges Coordinator should follow up with thank you letters to all judges. Weekly meetings should be held with JPR members.

PRESENTERS COORDINATOR

Jacqui Bryant

It is the role of the Presenters Coordinator to arrange for professionals to present awards from the Cutler Majestic stage live at The EVVY Awards. Preliminary research should begin in the second semester, so as to be ready for calls by early March. A list of presenters should be finalized by Dub Night, and confirmed approximately one week before the show. Weekly meetings should be held with JPR members starting no later than the second semester.

ROLL-INS COORDINATOR

Jackie Poko

The Roll-ins Coordinator has the glamorous job of lining up recognizable celebrities to tape congratulatory messages for The EVVY Awards. A preliminary list of names should be researched over the summer, so calls can begin following the first general meeting. Roll-ins for Winter Break should be confirmed directly following Thanksgiving Break, while Roll-ins for Spring Break should be confirmed by mid-February. Weekly meetings should be held with JPR members.

TECHNICAL PRODUCER

Sabrina Rufo

An extensive degree of knowledge and experience within multiple technical fields is required of the Technical Producer. This should include knowledge of camera work, advanced lighting, engineering setups, electrical study, and audio production. The producer should have an understanding of all equipment used in the production of The EVVY Awards, and be prepared to teach others about this equipment. This producer is responsible for a major portion of The EVVY Awards in that it is his or her responsibility to ensure that members are prepared and capable to crew the show. The Technical Producer will oversee the Remote Coordinator, the Engineering Coordinator, the Post-Production Coordinator, the Video Segment Coordinator, the Documentary Coordinator, and the Workshop Coordinator.

REMOTE COORDINATOR

Andrew Nicholson

The Remote Coordinator will supervise the production of remote shoots sponsored by The EVVY Awards. This coordinator will be responsible for obtaining crew, equipment, and location permits for each remote shoot. The coordinator should also be in contact with the producer of each respective event in order to accommodate for any additional necessities. These events are particularly significant to the learning and development of inexperienced members, and therefore the Remote Coordinator should feel confident in teaching basic production setup, including camera assembly and cable coiling.

ENGINEERING COORDINATOR

Danny Zach

The Engineering Coordinator should have a firm basis in technical production, and should be able to engineer shoots both on remote locations and in studio. The coordinator should exhibit a comprehensive knowledge of signal flow, routing, shading, and balancing cameras. The coordinator should also have a range of experience working with EIV and TRF Flight Packs, as well as the state of the art studios, so as to be able to teach others comfortably and troubleshoot effectively.

POST-PRODUCTION COORDINATOR

The Post-Production Coordinator is responsible for editing all The EVVY Awards videos and taped productions. The coordinator should be proficient in both AVID and Final Cut Pro and must train new members in these systems. This education facilitates the formation of a post- production team. Through participation in various projects, the post-production team will prepare for the live editing of the show.

VIDEO SEGMENT COORDINATOR

The video segment coordinator is responsible for the complete production (pre-production, filming, post-production) of all video segments in both shows of The EVVY Awards. The coordinator must ensure that locations, crew, and equipment are secured for all video segment shoots. Additionally, the coordinator oversees the production of promotional videos, both for the show and for other events sponsored by The EVVY Awards, such as the Winners’ Festival.

DOCUMENTARY COORDINATOR

The EVVY Awards Documentary Coordinator is responsible for overseeing the documentary effort of all The EVVY Awards meeting and events throughout the year in order to enrich the history and tradition of The EVVY Awards. This individual should have a passion for documentary work. The coordinator acts as the producer of any projects and should ensure that crew members are present to help at events, hold interviews, and edit the project so that it appropriately represents the year as a whole.

EDUCATION COORDINATOR

Nate Berands

The role of the Workshop Coordinator is to schedule weekly workshops for the education of members in both studio and field equipment, as well as other aspects of production. The coordinator will be responsible for finding appropriate instructors for each workshop, with topics ranging from camera setup and operation, to the basics of producing. The workshop schedule must be carefully planned, as it is imperative for members to gain technical and non-technical knowledge for the show.

SPONSORSHIP PRODUCER

Danni Bemis

The Sponsorship Producer supervises the generation of funds for The EVVY Awards. This producer will focus on reaching out to professional organizations and businesses to assist in this effort. This will also be a way of connecting The EVVY Awards to the greater Emerson and Boston communities. The Sponsorship Producer should oversee the Fundraising Coordinator, Corporate Sponsorship Coordinator, SWAG Coordinator, and Craft Services Coordinator as they reach out to Emerson students, alumni, and the Boston community in order to obtain donations for the show.

FUNDRAISING COORDINATOR

The Fundraising Coordinator organizes fundraising events that extend to students, parents, alumni, and local businesses. The coordinator must conduct initial research to determine viable donation options. Once a list of possible donators has been created and approved, the coordinator begins the process of making phone calls to businesses. The Fundraising Coordinator also supervises the Ad Walk, Phone-A-Thon, Date Auction, and any other fundraising events planned throughout the year. It is the job of the Fundraising Coordinator to devise strategies for the acquisition of funds needed for the show.

CORPORATE SPONSORSHIP COORDINATOR

Sara Moskowitz

The Corporate Sponsorship Coordinator is responsible for obtaining corporate donations and grants. Through research, the Corporate Sponsorship Coordinator will locate potential sponsors for The EVVY Awards. These sponsors will either offer monetary contributions or comparable gifts, which will be attached to respective awards. This will allow The EVVY Awards to expand itself to an even greater level of professionalism, while continuing to cultivate valuable relationships with corporate businesses.

SWAG COORDINATOR

Kelly Bowes

The role of the SWAG Coordinator is to oversee the design and sale of all branded merchandise for The EVVY Awards. The SWAG Coordinator should work with the graphics team to design a logo. The coordinator should also work with the Business Manager to research potential vendors in order to set pricing and payment for all items. Selling SWAG is an effective way to stimulate pride amongst The EVVY Awards participants; therefore, the SWAG Coordinator should be an enthusiastic and confident marketer.

CRAFT SERVICES COORDINATOR

The Craft Services Coordinator is responsible for acquiring food donations from local businesses for events such as Dub Night and the afternoon and evening shows of The EVVY Awards. The Craft Services Coordinator must arrange pick-up times with businesses for food donations and is responsible for finding a team to help transport all contributions to the appropriate locations. It is also this coordinator’s responsibility, with the authorization of the Executive Producers, to offer interested businesses a space for advertisement in exchange for a sizeable donation.

COMMUNITY RELATIONS PRODUCER

The Community Relations Producer is responsible for fostering the interaction of The EVVY Awards with other organizations and the greater Boston community. This producer will work to promote a positive image and reputation for The EVVY Awards both within the college and beyond. The Community Relations Producer supervises the Alumni Relations Coordinator, Special Events Coordinator, Public Relations Coordinator and Newsletter Coordinator.

ALUMNI RELATIONS COORDINATOR

The Alumni Relations Coordinator is the liaison between The EVVY Awards and past alumni of the show. Accordingly, the coordinator should maintain a relationship with the Emerson College Alumni Office. This coordinator is in charge of maintaining the alumni database. In an effort to maintain contact with alumni, the coordinator also must plan the Los Angeles party over Winter Break.

SPECIAL EVENTS COORDINATOR

Kyle Morrison

Organizing the production of themed nights such as Ad Night, WLP Night, Theater Night, and New Media Night, falls upon the Special Events Coordinator. Each one of these events is designed to benefit specific members of the Emerson community. This coordinator is responsible for the supervision of these events from inception through to the actual production. The coordinator will appoint a specific producer to each night, which in most cases should be a new member of The EVVY Awards. Through this process new members will gain an understanding of basic production including some important skills, such as how to approach and speak to professionals, how to reserve space and location permits, and how to create a rundown for the night’s events.

PUBLIC RELATIONS COORDINATOR

Shayra Norat

It will be the role of the Public Relations Coordinator to ensure that events within The EVVY Awards are publicized both on campus and throughout the Boston community. All work done by this team should be available for public viewing on the organization’s website as well as in paper form. The coordinator should use the PR team to create clever and effective methods for publicizing The EVVY Awards. The Public Relations Department is crucial to the success of The EVVY Awards because without proper marketing and public relations, the show’s success will diminish.

NEWSLETTER COORDINATOR

The Newsletter Coordinator is responsible for organizing a monthly newsletter that will be posted on the EVVY website. This coordinator will be responsible for finding writers and determining content for the various columns of the newsletter. The newsletter, itself, should contain information about upcoming events as well information about EVVY alumni and their current projects. This publication will also serve as an outlet for highlighting specific departments and members within The EVVY Awards. Being available on the EVVY website, the newsletter offers another way for members, parents, alumni, and other Emerson students to remain informed about the progress of The EVVY Awards.

COMMUNITY OUTREACH PRODUCER

Amanda DiPiazza

The Community Outreach Producer will seek to maintain interaction among members withinThe EVVY Awards through social events. The Community Outreach Producer will oversee the development and execution of activities that will unify the organization’s members. It should be this producer’s goal to establish a comfortable work environment based on the ideals of teamwork, cooperation and synergy. The Community Outreach Producer will supervise both the Activities Coordinator and the Community Service Coordinator.

ACTIVITIES COORDINATOR

Jay McFadgen

The Activities Coordinator is responsible for planning events throughout the year that encourage community among all EVVY members. These activities should include social events that increase interaction between members for the purpose of promoting teamwork. Throughout the year, the pressures and demands of producing such a large show can begin to weigh down heavily on all members, so it is the job of the Activities Coordinator to constantly boost morale and ensure that people do not become too overwhelmed by their efforts.

COMMUNITY SERVICE COORDINATOR

Community service is an extremely essential aspect of any group or organization, and The EVVY Awards remains no exception. Thus it is the role of the Community Service Coordinator to locate service opportunities and promote them as a way to stimulate personal growth, and more importantly, to bring increased awareness to social issues. By participating in these activities, members will also develop a greater sense of unity, which will prove invaluable during the production of The EVVY Awards.

BUSINESS MANAGER

Lucinda Kavazanjian

The Business Manager is responsible for all monetary transactions for The EVVY Awards. The Business Manager should maintain detailed ledgers accounting for all purchases and expenditures. The Business Manager serves a representative to departments, such as Purchasing, Alumni Relations, and Legal Affairs. The Business Manager is also responsible for outlining a comprehensive budget that may be used to appeal to the Student Government Association for funds.
